Transcripts are ?50 per STTR per day. For two tracks over four days, that would be: 2 STTRs * 2 tracks * 4 days * ?350 = ?5600. Two of the STTRs would be travelling from further away so we would need to cover travel and accommodation. We could save by: * only having them cover the main track, so only two STTRs * not having the open day covered Daniele From daniele at vurt.org Mon May 2 11:42:53 2016 From: daniele at vurt.org (Daniele Procida) Date: Mon, 2 May 2016 16:42:53 +0100 Subject: [PyConUK-adm-priv] =?iso-8859-1?q?Cr=E8che_quote?= Message-ID: <20160502154253.729477922@mail.wservices.ch> Cr?che will cost us from ?1535 (total) for five days. It's impossible for me on Mondays and Wednesdays, sorry. Matters to report: Hotels: * Plenty of hotels are listed at , one more coming as soon as I write it up, another as soon as we have nailed down some details. * I've negotiated special rates for a total of five hotels and listed four more. * Attendees are urged to book sooner rather than later. Dinners: * The Clink is booked for dinners @ ?25/head Thursday, Saturday, Sunday nights; as soon as I get their written confirmation, we should add tickets for these meals to the website so attendees can buy them. * Hoping to get confirmation for the big conference dinner Friday night in the Grand Hall of the Museum, but should be OK. Matters on my mind: * Catering at City Hall - we should start discussing this with them sooner rather than later. * Some of the site CSS could do with a few tweaks. Especially on the accommodation page, where headings look like: - see . * I urgently need to be able to have a proper talk with someone about the budget for STTRs (especially) and the cr?che. The STTRs need to be booked *now*, and all the relevant implication considered and arrangements made. * We have no information about the children's day (see also). Who is taking responsibility for it? * I'm going to draw up a skeleton schedule unless someone objects. * Precisely what AV requirements (including PA system and projection) will we have, for each room in which sessions take place, and how will we meet them? * Precisely what video recording requirements will we have, for each room in which sessions take place, and how will we meet them? So apart from the video mixer mentioned elsewhere, this is all the AV equipment we already have at our disposal? Do you know where our video cameras and recording equipment came from? And is there anything else AV related that's not yet been mentioned? I will get in touch with City Hall to find out what equipment they have by default in their rooms. Look for more lists :) Cameras, lots of extension leads, other crap. Tim or Alex will know. I know Alex and Mary chucked a load of stuff. In short, we can record one room in HD with several different video streams and mix them together and make the youtube videos we did last year. Last year we had one left over camera (I think Luke brought his own as a spare) and we bunged it a the second room and left it recording unattended, Tim mixed those videos afterwards. A local PHP/Moodle company called Autotrain that Tim is part of, seconds Tim's time to us each year as their contribution to sponsorship. Although we (PyCon UK) have often provided a room in the Formula 1 and free entry. Tim is a PHP developer with a growing interest in Python (we are assimilating him by accident), who is also used to be a big DJ so knows all about AV, Autotrain has a load of gear also. The (old) plan was that in 2015 we would buy a video mixer and test it out, and if we liked the idea, we would buy more in 2016 to record all the rooms using our normal audio/video volunteer crew (in 2015 this was Tim, Luke, 2 * Alex and Charles, possibly more I am forgetting). Now there is talk of using another company so maybe we have a new plan. My role in the past has been to make sure they have the kit they need and the volunteers they need then leave them to it. Normally in the past my role was to chair the main room so that didn't leave much time for me to actually help with the AV. So please can I ask for some volunteers who can take some hot contacts and call them directly and persuade them to cough up ? Background etc I have contacted 130+ people who were either the 26 sponsors from last year, or high profile members / companies of the U.K. Python community. The contacts vary from multiple emails and phone calls (for the previous sponsors) to just emails (it only looks like spam from a distance). >From the past sponsors we have - 2 invoiced Bronze sponsors - 11 "hot" leads - 4 refusals - 8 no answer >From the others we have - 1 invoiced bronze sponsor - 6 refusals - 90 no answers I also am talking with Bank of America and JP Morgan at executive director levels. BAML have been reluctant to redo their previous generous sponsorship and Peter and I are working with them to find a solution that meets their needs. JPM is enthusiastic but sloooow. But whatever, we are behind schedule. Sponsors are still interested and there is movement so it "feels" quite achieveable- but it is of course hard to judge. So please as a first pass can I ask for volunteers who can take a handful of email and phone numbers and do their level best to get through in the next week and report back? After that I will have more leads to hand out - hopefully always having good phone number and a decent "hot" lead, rather than cold calling Peter I have updated the report as of lunchtime and filled in a large number of the blanks. I will be happy to work that into the spreadsheet etc Yours --- Paul Brian paul at mikadosoftware.com 07540456115 @lifeisstillgood -- www.mikadosoftware.com See your software improve with every change. ''' I have been doing some digging with regard to internet connectivity and it does appear that its going to be problematic. The Broadband service is very poor and there are no point to point solutions that we can rely on. That means we have to use satellite or 4G or even a mix of both. To that end we need access to the roof probably or a suitable site to mount some dishes facing facing south. You are looking at around ?750 per dish for connectivity and about the same price for 4 sim 4g router. So I would assume you should allow ?3k for connectivity top of the quote. Perhaps you can let know how that sits with you. ''' At this point I have no indication of what is in the pot for this, so any guidance would be appreciated.
