After the closing ceremony, the attendees and the community were involved in a feedback session. The feedback of attendees was mostly positive but people pointed out some flaws and issues which are listed below. It would be great it the community and volunteers can take cognizance of these issues when organizing the next edition of PyCon India. Also, anyone who was not available during the feedback session, I request you to provide us your feedback by replying to this thread. Your feedback is essential to make the event successful. 1. Misc 1.1 Time Adherence to the schedule was weak. 1.2 Need coherence in timing of various tracks. 1.3 Documented Guidelines for talks proposal. 1.4 Consider the schedule for dev sprints before/after the schedule rather than along it. 1.5 Consider goodies to people who didn't turn up. 1.6 Slides are a bottleneck in talk selection. Consider new methods (like interview). Jaidev suggests involvement of local communities. 1.7 Rooms were too far away. Consider venue with better proximity of multiple halls. 1.8 Halting passage of halls near speakers to avoid distractions. 1.9 Place to sit while eating. 1.10 Lucky draw of lightning talks was not appropriate. 2. Audio/Video 2.1 Technical check ups prior to talk/workshop. 2.2 Internet needs prior load testing. 2.3 Have a venue with less network outage. 2.4 Consider Ethernet as an option for speakers . 2.5 Try halting wi-fi hotspots. 2.6 Video connector inventory was not sufficient. 3. Talks 3.1 Capture Card for slides in you-tube videos. 3.2 Time duration of talks should be longer. I can't really speak authoritatively about this since I was one of the talk reviewers but didn't contribute a thing. :( The CFP/talk selection should be a completely separate more or less independent group that just needs to agree on dates with the main team. Then, I think, they can start the process much earlier. e.g. The CFP for the US PyCon has been announced and the conference is in May 2018. > 1.7 Rooms were too far away. I kept my laptop exactly like that so that I could just plug it in the next day but something had changed, the resolutions were wrong and not working and I finally delivered my talk with my laptop screen turned off. Also, they had some issue recording with the resolution I was putting out and in between he handed me his own laptop and suggested I use that. This was a bit of a drag. I suggest to develop standardise feedback system. Do we know what feedbacks repeated at more than one Pycon India? How can new/old organizer observe feedbacks given at Pycon India 2010 or Pycon India of 'N' year? Mailing lists are worst while searching. There should be level of importance for feedbacks. Sometimes people are misjudging a community driven conference with a profit oriented conferences. Below are my suggestion of tracks: 1. Python for Kids 2. Python at college Python For kids: - Provide a platform for school students between age 8 and 18 years to get exposure to Python. How PyCon India(Indian Python Community) can help: - Create a group of mentors from different parts of India. - Schools can select students and reach out to mentors to get guidance for their project. - Create a committee to work closely with mentors and also help with the selection of best projects to showcase in PyCon India. - In case it?s necessary, plan to organize workshops for kids on Python in Education day. Python at college: - A platform for college students to showcase their projects. - An opportunity for college students to share their journey on python. How PyCon India(Indian Python Community) can help: - Create a group of mentors to help students. - Students can get support from an experienced python professional (mentor). - Have jury members to judge the projects. - If we have enough fund, we can plan to recognize the student with the best project. Criteria: Students has to get approval from college to participate in this event. IMO, this will help both school and college students get exposure to the Python world and an opportunity for them to meet and interact with Python professionals. We can also plan to provide participation certificate and goodies to the students who participate to encourage them. If there are any students interested to be part of this event but their project was not selected, we can allow them to attend this event with a very minimal registration fee. We can provide one free pass to the college/school where we conducted the pythonexpress workshop for this event. Do share your thoughts. Below are my suggestion of tracks: 1. Python for Kids 2. Python at college Python For kids: * Provide a platform for school students between age 8 and 18 years to get exposure to Python. How PyCon India(Indian Python Community) can help: * Create a group of mentors from different parts of India. * Schools can select students and reach out to mentors to get guidance for their project. * Create a committee to work closely with mentors and also help with the selection of best projects to showcase in PyCon India. * In case it?s necessary, plan to organize workshops for kids on Python in Education day. Python at college: * A platform for college students to showcase their projects. * An opportunity for college students to share their journey on python. How PyCon India(Indian Python Community) can help: * Create a group of mentors to help students. * Students can get support from an experienced python professional (mentor). * Have jury members to judge the projects. * If we have enough fund, we can plan to recognize the student with the best project. I would really appreciate any information on whether something like this is already in place for kids attending the local meet ups? After initiating the kids in the age group of 8-14 to basics of Python using turtle graphics and the young coders tutorials (https://github.com/mechanicalgirl/young-coders-tutorial) I have been trying to get them involved in the local Python Pune meet ups. The kids are largely self-motivated which is why they come to the Pune makerspace, however, it would really help in long term engagement if we can give certificates/goodies. IMO if we target the local regional meet ups for an active education track, they will organically grow and play a larger part in the main conference. I was thinking of organizing workshops in schools prior to PyCon India to get them on boarded. The meeting had a attendance of around 20 people. I am posting the summary of the meeting for those who could not attend the meeting. * Timeline leading upto PyCon India 2018: - PyCon India 2018 is planning to be organized in the month of August/September. - Since this is the 10th year of the event, the plan is to have the conference on the dates 26th and 27th September, 2018 (As PyCon India 2009 happened on these dates) - Website should be done by beginning of December - Reaching out to sponsors would be starting from December/January. - CFP would start in mid-Feb and close in May. - Schedule should be up by the month of July - Tickets would open up in March/April and close 1 month before the conference. * Days of the event: - Day 1: Python for Kids ** We have formed a team at the meeting for the Python for Kids, and a mail will be sent if someone wants to join can help out. ** This team will provide with a detailed report on whether it is needed to have a separate day for this event. During the meeting it was discussed that, the event could have a good number of students so it would need to have a separate day for the event. ** Need to reach out to sponsors for Hardware according to the plan the team sets. ** Allocate % sponsorship to procure hardware which will be given to off to the kids. ** The team will reach out to colleges/schools. They would be divided into different group based of age-groups. ** Plan is to start workshops and follow-up workshops in schools leading up to the event. - Day 2: Workshop - Day 3 & 4: Conference Days - Day 5 & 6: Dev Sprint Days * Venue Options - 2015 had a crowd of 1500 people. So we are expecting a crowd of 2000-2500 people at PyCon India 2018. - We need to check the PyCon India handbook and update wherever necessary. - The probable venue options are NIMHANS, BIEC, Palace Grounds, MLR-Whitefield. - Hitesh would check the requirements at Palace Grounds. - Soumyo would check the venue MLR-Whitefield. * Keynotes: - 8+ Keynotes at the conference from various fields of Computing (eminent persons from various fields, library authors, core FOSS developers etc) equally divided from India and outside India. - Get suggestion from the community on who could be the good domains, based on that get suggestion on the good keynotes. * Content Team - Build a good content team, for blogs and write ups for the social media team. - Send out your suggestions if you know someone who would be good for this team. * Communication channels: - Mailing list/IRC to remain the primary communication channel for all the tasks. ** IRC channel is #pyconindia - Telegram few days before the event. -- Sayan Chowdhury Senior Software Engineer, Fedora Engineering - Emerging Platform GPG Fingerprint : 0F16 E841 E517 225C 7D13 AB3C B023 9931 9CD0 5C8B Proud to work at The Open Organization! I've couple of suggestions. I think it is counter productive to have one-day dedicated for Python for kids. Having an exclusive day forces people who are not very involved to skip it. I think the conference should try to make it possible to interact people with different interests rather than creating silos. Wouldn't it be of great value for people working with kids to interact with IoT and ML expects and take some ideas home? I also suggest to consider conducting workshops along with the conference. What we have been following is the US PyCon style with one/two days of workshops before the conference and every participant pays for each workshop he want to attend. There is other popular model used in EuroPython[1], PyCon UK[2] and many other conferences is to conduct the workshops along with the conference. Both of their advantages and disadvantages. I was a strong proponent of the first approach, but after attending couple of these conferences I started to change my opinion. I think having both talks and workshops at the same time is lot more convenient to than having workshops on a separate day. If I want to attend just one workshop, I can spend rest of the day attend other talks and interacting with people, which is not possible when workshops are on a separate day. Believe me, it is very hard to decide which workshop to attend before getting into conference mood :) I suggest making the conference 3 days + 2 days sprints, with workshops along with talks. We can have a kids track on the second day and reserve last 2 slots of that day for presentations by kids showcasing what they've built during the day. This gives a chance for everyone attending the conference to experience what amazing things kids could build. PyCon UK did it like this this time[3] and it was amazing. I don't think I would have attended that if they had a separate day for kids before the main conference. ( http://www.biec.in/capacity_chart_confrence) BIEC's convention centre provide multipe halls of capacity (1400,700,250,100) It also has few other smaller halls that can used as per need. Cost of BIEC convention centre is 4.5 L per day. (Apart from setup cost(chairs, internet, and other things)) They even have multiple expo halls with 2500 + people capacity. Each expo hall will cost us around 8 Lakh per day. If we plan to go with BIEC, we surely need to raise our registation fee to minimum 3,000 - 3,500 rupee per head and find more sponsors. Do share thoughts? Note: Few volunteers have plan to visit BIEC this week. In the last F2F meeting with PyCon India volunteers, we discussed on Python for kids track and below are the pointers. 1. Provide free passes for kids. 2. Accommodate 100 - 150 kids. 3. Should not be restricted to Python programming alone but welcome all open source technologies. 4. Make this a parallel track to conference which provides students an opportunity to interact with professionals. 5. To get hardwares necessary to teach kids, we might have to look for sponsors. 6. Cover the travel cost for kids and a mentor/parent per kids if logistics permits. The next steps is to create teams as below: 1. Co-ordinators 2. Mentors *Role of Coordinators:* 1. Connect with schools to create awareness on python for kids track in PyCon India 2018. 2. Communicate with school co-ordinator to identify what works better for school kids and share the inputs with mentors. 3. Send a formal invitation to schools if required. 4. Work with school coordinators to plan the logistics. 5. Closely work with PyCon India organisers and mentors to take care of the ground work required at the venue. *Role of Mentors:* 1. Mentoring kids and working closely with them. 2. Work with peer mentors to come up with detailed plan for Python for kids track. 3. Work with coordinators to understand the requirement and feedback from schools. 4. Work with PyCon organisers for ground work at the venue. As we all know that this is the first time we are planning for Python for Kids track, we call for mentors who has experience in teaching programming to kids. And also looking for support in planning and executing the event. Request interested people to fill in the below forms to help us connect with you. *Coordinator* : http://bit.ly/python-kids-coordinator *Mentor*: http://bit.ly/python-kids-mentors -- Thanks, Vijay -------------- next part -------------- An HTML attachment was scrubbed... Here are the things that were discussed: * Conference Days - We discussed about having the Python for Kids running in parallel to the conference. And increasing the number of conference days to 3. This depends on the team that is evaluating the Python for Kids program. The benefit of having the Python for Kids in parallel to the event is that the Kids can understand the community around it, how people use the stuff they are learning, and also the community can interact with the kids. * Venue - We would be visiting the BIEC today. Vijay has started a thread on the same. If you plan to visit, reply to the thread. - We will also look into the Christ College auditorium, if it fits our needs. * Website - Akshay has shared a few designs of logo on the website and is right now working on the website design. - We might deploy a initial version of the website on Dec 1 and then reiterate over it. * Sponsorship - We discussed on the sponsorship slabs. I will drop a separate thread to discuss the sponsorship slab. * Internet - Reach out to Google, ACT, Tikona for in-kind network sponsors. * Startup Row - Vijay to start a thread on having Startup Row at PyCon India * Reviving having poster presentation again. * Sayan to start a thread on IRC meeting time. * Community space - Promote open source core/regular upstream developers to showcase their project in the space. -- Sayan Chowdhury Senior Software Engineer, Fedora Engineering - Emerging Platform GPG Fingerprint : 0F16 E841 E517 225C 7D13 AB3C B023 9931 9CD0 5C8B Proud to work at The Open Organization! Rate: 230 per day/per sq. mtrs. - The place also has a conference center with 8 halls and a Amphi Theatre. The biggest three halls on paper accommodates 1400, 700, 250 people. But after looking at the space and doing the calculation based on the event going on yesterday we can accommodate ~2000, 1200, 500-600 peoples. - The cost of the full convention centre is ?462875. - The place has a good decent size food court to have the lunches and also few other shops like Barista, CCD, Dominos incase people want to buy and have food. - The place has a lot of open space to drive other activities. - The biggest problem of the place is no external food vendors is allowed and you have to choose from the given set of food vendors. The cost of food varies from 800-1200 per person. Now, the main point to note is to drive a discussion to move the conference to end of August. The dates being 29th, 30th, 31th of August. The reason being since the months of May-August is off season they give a discount of 25%. Also, the place is quite in demand so we need to close off on this place by next week (Tentatively 1st December). -- Sayan Chowdhury Senior Software Engineer, Fedora Engineering - Emerging Platform GPG Fingerprint : 0F16 E841 E517 225C 7D13 AB3C B023 9931 9CD0 5C8B Proud to work at The Open Organization! Pros - All halls are on ground floor. - We can move around from each hall in less than minute. - We can accomdate 10-12 sponsor stalls. - They have good quality vendors list to be chosen. (5 star hotel standards) - As per us, we can accomdate 2000-2200, 1000 and 500 people in 3 halls. - Good space for Kids track and child care. Cons - Location is bit far but well connect with public transportation. - Food court is decent but in different building from convention centre. As 10th year celebration - Bigger and flexiable venue (As expalined above) - We want to planning to have 6-8 Keynote speaker travelling , apart from india keynote speakers. - We want to add kids track also. - We want to make it 3 days conference(under discussion) and 2 days dev sprint/workshop (different venue) With above point, We request people to share opnion on below Cost: 1) Two day conference and conference fee to 2,500(with T- shirt) and 2,000 without T-shirt. 2) Three day conference and conference fee to 3,500(with T- shirt) and 3,000 without T-shirt Dates: 1) First or second week of September 2018. 2) Last week of August 2018. And yeah, I think there should be a bit cheeper (maybe equivalent to early bird ticket?) Also, T-shirts can be optional, on-payment basis. Let's kick off the discussion of the sponsorship. During the F2F discussion in last meeting, this is the sponsorship slab: - We would continue to have Platinum, Gold, Silver and Associate. - We plan to introduce two new slabs this year, Diamond and Kids sponsor. Here is the slab that was discussed during the meeting 1. Diamond - 10L 2. Platinum - 7L 3. Gold - 5L 4. Silver 3L 5. Kids - 2.5L 6. Associate - 1L - The Diamond sponsor would have a bunch of more facilitates, a sponsored talk which would get more attention, maybe in the main hall(but we need to discuss on this on more). - Kids Workshop sponsorship would be good to have in-kind but I don't think we should be restricted to that. But this sponsorship would drive the Kids Workshop and the hardware and other stuffs needed for driving the event. Comment with your thoughts on this sponsorship slabs or add points into the sponsorship slab/brochure. -- Sayan Chowdhury Senior Software Engineer, Fedora Engineering - Emerging Platform GPG Fingerprint : 0F16 E841 E517 225C 7D13 AB3C B023 9931 9CD0 5C8B Proud to work at The Open Organization! Devsprint encourages coding participation and I don?t think it should be made optional. Sometimes people who are a little doubtful also applies and drops by to check out what?s going on. Only to find it fun learning and contributing and thus getting started. Making it optional, would mean to potentially lose out on these new comers. Essentially that?s why we have this conference. To allow everyone the opportunity to learn. > >> >> >> -- >> Thanks, >> >> Gaurav Kumar >> >> +91-7996874069 >> >> about.me/aavrug >> _______________________________________________ >> Inpycon mailing list >> Inpycon at python.org >> https://mail.python.org/mailman/listinfo/inpycon > > > > -- > Saptak Sengupta > Core Developer at FOSSASIA > Contact No - +91-9748368303 > Github | Linkedin | Facebook > ? > _______________________________________________ > Inpycon mailing list > Inpycon at python.org > https://mail.python.org/mailman/listinfo/inpycon -------------- next part -------------- An HTML attachment was scrubbed... Just the color, content and logo is changed. Referecne: http://blockchaincon.io PyCon India 2016 website :https://in.pycon.org/2016/ The copyrights of this website design lies with PyCon India and PSSI which is clearly mentioned in our website. Also we have paid for a vendor to get this designed. Is it right for them to do so? How should we handle this now and also stop this from happening going forward? -- Thanks, Vijay -------------- next part -------------- An HTML attachment was scrubbed... We haven't put up a license on the github repository for the assets or the website so my understanding is that by default, reuse is not permitted. I think the correct way to move forward is to put up a liberal license on the pssi repositories so that others can use the design and to tell the blockchain people that while their initial copy over was a violation of the copyright, we've changed the terms so that it's no longer a problem. That would solve it. Correct? As our site had a copyright mark, we can surely at least let the blockchain organizer know about this error/mistake.
