I am Chandan Kumar, from the Python India community. With the world affected by COVID-19 pandemic in 2020, we held PyCon India 2020 virtually with the support of the entire community with us. Following the footsteps, we are now planning to host PyCon India 2021 virtually as well. Below you can find the detailed proposal for PyCon India 2021. Dates for the event: 16th to 19th September, 2021 ## Event Size and Format * We will have a 4-day event on Hopin platform. * Day 1 & Day 2: Conference days with 4 general tracks, sessions, BOFs and community booths in the Expo area with a capacity of 1000 people (can be scaled to 1500) * Day 3 & Day 4: Workshop & Dev Sprints** ## Team We've been able to reach out to different local Python meetup user groups to make them a part of the team, and make it successful. We are in talks with AFROST for handling the event's finance and WebChirpy for the event's Website. ## Planning & Communication The team recently met virtually and drafted the plan [1]. In order to drive all the aspects of planning and execution of PyCon India 2021, we will be rolling the Working Group (WG) model this year as well. The central communication platform for PyCon India 2021 would be Zulip and IRC. We're using the same Zulip[2] instance used last year. After logging in to Zulip, connect to the 2021 discussion stream [3]. The IRC channel is #pyconindia. The IRC channel is also bridged to the Zulip instance. We would follow up on this email with more updates as they come along. Before proceeding further, We need an ACK from the community. If any other group is also interested or planning to host PyCon India 2021. We are happy to collaborate with them. September is some way off and with the vaccination and other things going on, it might be viable to hold it at a physical location then. We all do miss the offline setting of PyCon India and meeting each other in real life. During the initial planning meeting, we talked about doing the pros and cons of having the conference offline. But, by seeing the current COVID-19 pandemic scenario, availability of vaccines, and some inspirations from other conferences like EuroPython 2021, PyCon US 2021 we decided to take it online (though these conferences happen a couple months before ours). Few other factors we considered were: - Even if there's a possibility of the vaccine working by September, it'll be too late for foreign speakers/attendees to take that call. - If there is a possibility of a second or a third wave, or even a new strain of virus, how would things turn out. - Learning from last year was the team was undecided with the scenario, like we had almost booked the venue but kept the decision on hold as India was put into lockdown. - Budgeting becomes easier, and the team can have a more clear picture and better timeline if we decide to go online now itself. By keeping the safety of our community in mind, we decided to host virtually.
