COVID-19 has made a significant impact on our lives. Ever since we started planning for PyCon India 2020 around February, the pandemic was one of the top agenda on our list and was looked into every week. We had decided the venue and almost signed the contract, but eventually decided to wait for a couple of days before signing and that's when the lockdown happened. The team around that time changed tracks and started planning for an online conference. The team decided to review the matter of physical conference again in June and if the situation does not improve, PyCon India 2020 will be happening online. Today, we are happy to announce that PyCon India 2020 will be happening as an online conference. The dates for the conference remains the same. - Conference Days (October 2nd - 5th) - Workshop (October 4th) - Devsprint (October 4th - 5th) Now to give you an update on what all has been happening to make the conference a success. This year we embraced the idea of Working Groups taken from EuroPython, referred to *WG* hereon. An idea which Anand Chitipothu suggested on the mailing list in the past. We might not be there, but trying to put the right steps to get there. Answering why we are still not there - The idea of WG is to have members from various communities around the country. So, I take this opportunity to invite folks from various Python User Groups to build the WGs. You can find the list of WGs here[1] along with the members. Feel free to reply to this email, ping on Zulip or join our weekly call to help the WG. ## Communication The primary platform of communication is Zulip[2] for more real-time communication. In case of ideas or sharing updates, the *inpycon* mailing list will be used. ## Updates from the Working Groups We've got an open-to-all meeting where the WG members put their updates, put forward their blockers, and discuss ideas if any. The meeting happens over Google Meet[3] and the meeting document can be found here[4]. The meeting happens every Friday at 2200 IST. A reminder is posted on the Zulip channel too before the meeting. ### wg/cfp We've opened the Call For Proposals (CFP) on April 24th and the last date to submit is August 14th. We've sent an email to the previous year speakers to submit talks again. I would encourage everyone to promote in your network to submit talk in PyCon India. This year we are introducing the concept of "Preview Video". The idea is that the speakers while submitting a CFP, need to create a 1-3 minute video about their talk. Read more about it here[5]. We reached out to the community through the mailing list and social media channels for the suggestion of Keynote Speakers. We've received a good response on Twitter. I'll bump the mailing list thread for Keynote Speakers again, please suggest the Keynote Speakers you would like to hear in the thread. We've collected the list[6] of Keynote Speakers from Twitter. ### wg/design The design for the PyCon India 2020 was created in-house this year. We got an overwhelming response for the logo design over the mailing list as well as Twitter. The finalized logo for this year is posted here[7]. We've completed the design for the website around the colour scheme and the design of the logo. A sneak-peek can be seen through the tweets[8]. The development of the website is also close to complete. The team is working on the responsiveness of the website. After the development, the plan of the team is a build a framework that would make the website easily extended in the future. ### wg/devsprints-workshops The work for the dev sprints or workshops has not started yet. But we've had a brief discussion on it. Devsprints: We will not use Junction for dev sprints, rather maintain a wiki, or form to collect the projects willing to participate. Workshops: We will open the CFP for the workshop in the next 1-2 weeks. This is one of the discussion points for the next meeting. We probably will also be having sponsored workshops. ### wg/editorial This team is responsible for build scout for good speakers, and request them the submit talks for the conference. ### wg/mentorship This year one of the goals to bring up the quality of the talks of PyCon India and to build a pipeline for coming years. How do we plan to achieve this? - The selected speakers will go through a round of talk rehearsals. - Mentors would be assigned to a couple of talks. - The speakers need to work on the content, presentation based on the mentors' feedback. - There may be additionals iterations based on the feedback of previous sessions. ### wg/platform Primarily made for the online conference, the team is responsible for scouting the platforms to host PyCon India 2020. We've reached out and evaluated a bunch of options. To that, I would like to thank EuroPython for putting out a wonderful post on the topic. We looked through a bunch of options like Airmeet, Zoom, Jitsi, hopin.to, GoTo Meeting etc. Turns out hopin.to is the best suitable platform for us and hopefully, we are going forward with it. ### wg/review-panel The team is responsible to build the review panel and coordinate the panel for a seamless review of the CFPs. We are in the process of reaching to folks from the community. We have received positive responses for about one-fourth of the review panel. ### wg/socialmedia The social media team is regularly posting on social media with information about the conference, announcements, etc. Twitter is the primary platform, to engage the community through the tweets. ### wg/technology The technology working group has been set up with the aim of the consistent and continuous aim of improving the technology used in managing the Python India assets. This would constitute long term volunteers looking after the services with the chair as the primary source for information and the security contact. - Server management: - After a bunch of hits and misses, we got the access to the E2E Networks dashboard where our servers are hosted - Backing up critical data stored on our servers - Junction: - Upgrade to Django 2.2 LTS is in progress - Python 3.8 will be the primary version supported - We are starting tagged releases for ease of deployment - Magudi: - Upgrading various components in a gradual rollout basis - Pillar: - The secrets have been moved to a private GitHub repository - Closely guarded access control - Conference and Workgroup chairs as guard keepers - Secret Management: - We are vetting Blackbox[9] for credential storage in future - Finding a GPG2 backed solution with simplicity and security in mind - Ownership transfer should be trivial - Management of Github: - Streamlining release engineering of other Python India projects. - Design Assets: - A different asset repo to store assets ever year. - The repo serves a source of truth for all design needs - website, social media, blog posts etc. We are in the process of setting up the following working groups: - wg/accessibility -> Responsible for venue and website accessibility - wg/diversity -> Responsible for promoting and increasing awareness of diversity and inclusion - wg/finance -> Responsible for managing financial aspects such as sponsorship, vendors and billing - wg/tickets -> Responsible for handling the ticketing affairs I would also like to extend my gratitude for coming on board *AFROST* as a Community partner. AFROST will be working alongside with Finance WG. ## Python India Handbook With the inception of the idea of WG, we will be updating the handbook to include email templates, scripts, handover process etc. Following this email expect emails suggesting changes we plan to bring to the existing process and the changes to the handbook.
